How we work and terms

The short version first, in plain words. The key terms follow. Your statement of work sets the dates and the price for your game.

The short version

Who runs your game

Our director, Dan Epstein, designs every game. Facilitators with defence wargaming experience run the tables, one to three of them in a big room.

What you tell us stays with us

We sign your NDA. Every facilitator signs ours before they see a thing. We only name you, or quote you, when you say yes in writing. Mars said yes, which is why you can read about them here.

What you own

Your data, your decisions and what the game found are yours. Show the report to your board, your regulator, your auditors or your funders. Want to publish it? You can. We keep the game design and the method, because that is what we bring to the next table.

Paying

Half to lock in the date, half within 30 days after the game. Prices are plus GST. Travel outside Melbourne is at cost, and you see the number before you book. Public bodies can pay on their own terms. We carry A$1M professional indemnity and A$10M public liability cover, and more on request.

Changing your mind

Move the date once, free, with 14 days' notice. Cancel more than 21 days out and the deposit comes back, less any design work already done. Inside 21 days it costs half. Inside a week it costs the full fee, because by then your game is built.

ConfidentialityBoth ways, for five years after the work ends. We sign your NDA. We name you or quote you only with your written OK.
Your findingsYour data, your decisions and what the game found are yours. Share the report with your board, regulator, auditors, insurers or funders. We keep the game design and the method.
PlayersFeedback is anonymous in every report. We never publish player names.
ResearchPublish the findings under your name, crediting the method to us. Co-authorship by agreement. Ethics approval is yours, and we work to your protocol. Paid 40% at the start, 30% at the game, 30% on the report.
TrainingYour trained people can run our exercises inside your organisation at no extra fee. Consultancies running them for clients need the practitioner licence: A$5,000 a firm a year, up to 10 trained people, non-exclusive, with one credit line in your report.
No poachingWe will not approach, pitch or take work from a client you introduce or run our method with, for 12 months after your licence ends. Neither of us hires the other's staff or facilitators for 12 months.
PayingHalf to book, half within 30 days after the game. Prices plus GST. Public bodies can pay on their own terms. Late payments carry interest at the RBA cash rate plus 4%.
DatesWe reply within two working days. Book about four weeks ahead. Your report date is set when we scope the game. Move the date once, free, with 14 days' notice.
CancellingMore than 21 days out: the deposit comes back, less design work done. 8 to 21 days out: half the fee. 7 days or less: the full fee.
TravelMelbourne is included. Elsewhere is at cost, quoted before you book.
What the report isA record of what happened in the exercise and what it surfaced. It is not an audit opinion, a certification or a guarantee.
InsuranceA$1M professional indemnity and A$10M public liability. Higher cover on request.
Liability and disputesLiability is capped at the fees paid. Victorian law. Negotiation first, then ACICA mediation, then arbitration.
